When I shadowed Parth, he told me to make sure I know what is going on. When coming into my shift, I should aways ask the consultant I’m relieving if there were any problems or anything I should know. Then, I learned about Lotus notes and the importance of it for Site Managers. I learned that EPO stands for electronic Post Office and before Stony brook used Google for everything, Lotus notes was used for emails, for categorizing things and for department calendars. Now no one really uses Lotus notes, except for Site Managers. Site Managers must go on Lotus notes weekly to get a schedule of their site, such as professors reserving site space for class or meetings and such. Site Managers must obtain the updated Calendar weekly and put it onto blackboard as a PDF file so the consultants working would know what classes are going on during their work shift. My homework was to make sure I call Client support and figure out my password because I remember making a Lotus note freshman year and I don’t remember the password because it had to be a password with exactly 8 characters including letters and numbers and it cannot be a word from the dictionary.
Towards the end, I learned about reading ID cards. Main SINC site has a pharos card reader and a campus card office reader. It reads any ID card and credit card onto a Microsoft word. The Pharos reader can read a card front and back, but the card office reader only reads front of the card. The pharos card reader reads your ID and tells you if the ID card works for pharos, however the office card reader reads yur ID ccard to see if it works around campus such as buying food or getting access to residential buildings.
When I shadowed Danny Chung, I took attendance. There was a no show at work so I was got to experience the procedure of what would happen since this person has no showed more than once. It was quite interesting, but at the same time I felt out of place and was just really awkward. Danny also taught me the shortcuts on MACs and PC. Such as using conrol P for printing and control S for saving, however for MACs, command S and command P are used instead. After, Danny told me to man the front desk so it was a pretty easy shadowing hour. I was able to delegate tasks and fix a few paper jams.
For this week of shadowing, I only shadowed Site Manager for two hours because I got permission from Rose to make up my two hours of Help desk the next week due to a Biochem review.
