Details: Today we all go to introduce ourselves to the other members of the team. The goal of this meeting was to get an understanding of what our task will be for the next two months. We talked about the vehicles the organization owns, what type of information is needed from an employee to reserve a vehicle, mandatory vehicle inspections before and after using the car, and any other paperwork that is necessary. Our goal is to determine which program we are going to use and have some designs drawn out before the next meeting.
Meeting #2

Details: This meeting included both our group for the organization vehicle reservation system as well as the group working on the personal vehicle mileage reimbursement system. We talked about what we discussed with the client so far and how we can work together to combine both our databases to make one vehicle management system for both personal and organization vehicles. We will both be using FileMaker to make out databases; this means that we can work together in order to build both databases in a similar way to provide consistency for the client. Towards the end of the meeting Professor Scarlatos joined to check-in on our progress. He also told us about lucidchart which will be a great tool to make all of our charts and other graphics.
Meeting #3

Details: This was our second meeting with Hope for Youth to talk about our organization vehicle reservation system. One of the main topics we discussed at this meeting was their existing IT department. We now understand that all of the employee’s technology it provided to them; this includes computers running a Windows operating system and cellphones running IOS. FileMaker will allow the reservation system to be accessible on all of these devices. We also discussed that they need to let everyone see who currently has the car and who has it last in order to keep track of the keys and who to contact if they are missing. By the next meeting we will have the database started.
Meeting #4

Details: The meeting this week was brief. We showed Alan and Tenaya what we have done with the database so far. The 45 day trial started two days before so there was not much done yet; however, we had the main tables created as well as organizing the layout of the information. We also requested that they provide us information about the employees who use the vehicles so we can import that data into the Employee table of the database. By the next meeting we will have move of the database completed and the UI mockup finished.

Details: In today’s meeting we discussed what the next steps were for the project since we have just finished our design brief presentation the day before. We explained how we were going to highlight the administrative side more in the wire flow and personas sections since we mostly focused on the regular employee side of things. Alan has sent us the information of the employees that will be using this system and began to import them into the database at the end of the meeting.

Details: In today’s meeting we were able to show the client a working menu for the reservation system that linked the employee and vehicle information together with coded buttons that allows you to easily go to and from each view. We also discussed that the final part of the menu linking the reservation creation and view of existing reservations with the rest of the database in a user friendly way. By the next meeting the prototype should be at least 90% complete and close to starting a testing phase.

Details: In today’s meeting we went through the completed reservation system. There is just a handful of changes that are left to be made. We discussed that we will be uploading it to a Claris FileMaker Server this upcoming week so it will be ready for testing by employees for the following week.

Details: There was not much discussed in this meeting. We explained how we sent the database to Professor Scarlatos to be posted onto his server in order for everyone to be able to access the system, try it out, and give us feedback.
Meeting #9

Details: For this meeting Alan and Tenaya have had the chance to log into the reservation system and give us any feedback. There were a couple little things that needed clarification or that needed to be fixed. We also made their vehicle accountability form into an editable pdf to help them eliminate more paper that they use. This weekend we are also going to make a google form based off the information of the accountability sheet.
