Meeting details:
-Updated professor and Donna about everything that we have completed (Documentation, Screenshare, Prototype)
-Notified them that the site still has to be hosted and a Slack account has to be created. 
For Donna:
-Were you able to fill out the form on Slack for nonprofits?
For Professor: 
-What is your idea/plan for an email account to set up the SMTP emails so we can swap out the dummy email we have set up so far. 
To Do (for us):
-Once the site has been hosted, we can figure out the the admin credentials and privileges 
-Set up Slack for the Food Pantry
-Proofread documentation one last time before submission

-Fix the issues in Push Notification System: 
1. Subject and Body can be updated.
2. Make sure the admin can choose templates as well as be able to write their own message.
3. Admin can view, alter, add, delete records, templates, and groups.
4. Admin can send e-mails to all groups or a selected groups.
Questions:
1. Are there any other functionalities and features that we are missing in the push notif system? 
2. How are they able to change the password for the system?
Milestone: 
-The push notification system has been completed : formatting, design, and bugs have been fixed and finalized. The system has also been tested and works properly.

-Find the most suitable apps for the Food Pantry

Milestone: 
- Created multiple template flyers for the food pantry
- Started a guide on how to use Canva and highlighted its features
- Started the basic components of software design documentation
- Explored the functionalities that Slack has
- Created a Slack Food Pantry account to test different functionalities

Questions/Concerns?: 
- For the flyers, since we will be making several templates for them - should we just have all of them in the Google Drive for them to add on / pass on ? 
Since our Google account closes after we graduate, we should make sure Donna saves all of these on her own Drive.
- Where will the clients be getting the e-mails for people to send these notifications to? 
Those who come to Food Pantry fill out a form that include their email addresses  (donors, guests)
We can possibly import this information for them as well

Goals:  
More efficient email notification system: 
-Showed website and wireframe of what our system can look like
-System allows admins to easily send out e-mails to volunteers about closures, events, etc. 
-This will be created with FileMaker
Raising awareness on Instagram: 
-creating templates for future users to just add and change text
-these templates can be used for stories or posts on instagram
-volunteers can also post on their private account to reach more people
-pay a small fee to have these posts show up on the feed of nonfollowers

Communication between administration + volunteers: 
-Slack is one of the options that we have explored
-It is more professional and efficient than GroupMe
-More information on this is outlined in the Slack guide

To Do: 
-Create a few templates that can be used as posts / stories 
-Explore other simple ways users may be able to create flyers 
-Start our work on FileMaker
-Send out more information about Slack and send the link for an upgrade
-See if we can work with other groups to get notifications on slack when there inventory is low etc.
-Our group will Slack as if we are part of the food pantry group and will add to the guide for how it can be used

-Q&A with Donna : Ensure all questions are answered and everything is clear on both ends! 

Q&A
Donna’s Questions: 
What platform do you believe would be most appropriate for the Food Pantry?
-Most likely instagram because it can be made public and anyone can view the page. There is a way to disable comments on there
-Snapchat is not as good because you have to add each person as a friend before they can view your stories.
-Tiktok is not really an appropriate platform for what we need. 

Are there suggestions for what kinds of posts that should be made? 
-We are planning to create a template for flyers that can be posted to instagram. These posts can be for food drives and other events. 
-Templates for posts about food drives and other events
-Templates for stories about closures for the day etc. 
-Create a guide for users on how to do both

How will the templates work? : 
-We are planning to make templates with photoshop and will be exploring a solution where you can just change the text for the template and easily upload the post onto instagram. 

How will the push notifications work?: 
-We will use FileMaker to create this system for donors + volunteers + admins
-Functionalities: 
 -Options to select a different template for e-mails about closing, events etc.
 -You can also just draft your own e-mail
 -Select groups of people you would want to send emails to
 -More information about this is available in our design brief on our site

Communication between groups:
-Slack: create a channel for different topics and for different people
-There is a function to force send important notifications to everyone
-It is similar to a messaging application but is more professional + has more functionalities 
-We will provide Donna with more information about this.

Our questions for Donna: 
Do you want us to start up an Instagram page and would we need credentials to start up the page?: 
-No, the page should not be started yet because operations may be changing.
-For now focus on the ideas and design of what it would look like.

Is there someone that will continue maintaining the Instagram page? 
-Somebody will be assigned to keep up with the IG Posts. 

Did you also require us to make updates to your website? This did not come up in our discussion with the volunteers but was brought up by Professor Scarlatos recently, but we would like to check with you on that. 
-There is no need to create a website since there already is one that is hosted on OuCampus. 
-However, social media information has been taken off the page so we may need to include that in & maybe explore the possibility of embedding the posts from Instagram onto the website. 
-We can also maintain the website and see if there is anything we can add or change to improve it, however the overall format cannot change because of SBU. 

-Lastly, Donna is interested in using Slack and will fill out the form for us to get the standard version so that we can work on setting it up. 

Main Tasks for the Week: 
Instagram:
-Create templates for posts + stories etc for Instagram
-Create guide with tips on how to make posts + stories more appealing + aesthetic
Slack: 
-E-mail a form to Donna for nonprofits to get the standard version
-Create a guide and summary about functionalities of Slack for Donna
-Create a Slack for the Food Pantry
General: 
-Continue researching and learning how to use each of the programs we plan to use: Slack, FileMaker, Instagram, Photoshop etc.

Questions for Donna:
-How are the food drives and other events being managed right now? Would you possibly want us to work on managing that as well?
-Just to confirm: Food pantry has an instagram but has trouble turning off the comment section? Did you want us to find a new platform that disables comments or continue using instagram?
-What types of posts would you want us to post on the platform of choice?
-Did you also require us to make updates to your website? This did not come up in our discussion with the volunteers but was brought up by Professor Scarlatos recently, but we would like to check with you on that.
-Would the Food Pantry be interested in using Slack? If you fill out a form as a non-profit organization, you would be able to use some of the premium features. Slack is an application that allows you to keep your conversations separate and organized. You can also connect Google Calendar to your account to let others know when you are available. We are also looking into a way for you to send important alerts / notifications to volunteers if something comes up or if items in your inventory run low.

Minutes:
-Nitin suggested using slack or google hangout for our own group communication and see which one might be more suitable for our clients. 
-Explored uses of the Slack App:
    -Create channels for specific task / events / meetings
    -Connect google calendar to better manage events
    -If inventory is low, automatically send alerts to a specific channel that can include the volunteers / management through slack and then allow them to click a button to order more of something.
